    MAIN PURPOSE: To report to the Admin Supervisor.

    The ADMINISTRATIVE ASSISTANT is responsible for:

    Reception

    Telephone Answering. Redirecting Calls as necessary.

    Ensure that telephone system is maintained in working order, that all extensions work and that an up-to date extension number list is kept on each desk

    Mail

    Opening and Distributing Mail in the morning, and dealing with the office outgoing post.

    Administration

    Typing
    Photocopying
    General Administration as required
    Obtain Makro Cards for Contractors
    Order Stationery
    Ensure that Photocopier and Printers have adequate toner supplies and are kept in working order
    Helping assist other departments

    Filing

    Ensure that office area is kept tidy
    Maintaining and Archiving files within and out with the office
    Filing of the following documents: -
    Vat Returns and Workings
    PAYE returns and workings
    VAT registration documents
    PAYE registration documents
    Annual Returns
    Co- Secretary Forms
    Sales Invoices
    Inland Revenue Correspondence
    Year end accounts
    Creating new files (both permanent and current)

    Computer work
    Data Capturing
    Entering data

    All other duties as required by management

    Experience
