An experienced Administrator / PA is required for a Senior Manager and team in a growing National organization. Part of the role will be to act as the key link between the Scotland and London based teams.
Key responsibilities for this role are;
? Assist in the gathering and research of any required data or information to enable the Scotland team to carry out their work
? Ensure all statistical data and other information relating to the team activities is recorded
? Produce purchase orders and record details of expenditure (including personal expenses for the Head of Scotland), log and track expenditure against budget and process invoices and expenses for payment by the Finance team
? Create and maintain effective filing systems for all hard copies of records and data in accordance with company policy and the Data Protection Act
? Organise (including travel, room bookings etc.) and participate when required in any internal or external meetings and take and record minutes of those meetings as may be required
? Log all enquiries, applications and correspondence received and monitor the follow up actions where required
? keep abreast of information that has an impact for the Edinburgh Team
The ideal candidate must have a proven track record of working in a busy professional office and have experience in dealing with a whole range of administrational duties; preferably some of this experience would have been gained in a pressured environment with tight deadlines. You should also have experience of diary management and PA type support; have excellent communication skills in both oral and written form for effective drafting of reports, briefings and presentation. A Good knowledge of Email and Web Browsers (outlook, diaries, Internet Explorer) with ability to conduct internet based research is also required
